Cloudify helps Pubfront to automate invoicing and connect better with customers

Project Overview

Cloudify proposed an automation solution for Pubfront, a retail ebook business, to streamline their invoice creation and delivery process, which was previously manual in nature. Pubfront used Stripe because of the collaborative approach and flexible billing solution that enabled us to integrate Stripe with e-conomic, the accounting app, to consolidate its payments and billing systems.

What did Pubfront needed help with?

Pubfront was previously creating invoices manually in their Stripe account and send it manually to the clients. Pubfront needed help with automating its invoice creation process and emailing the customers so they stay updated on the invoice status.

The Solution

How did we approach it?

To address Pubfront's challenge, Cloudify proposed an automation solution that would streamline their invoice creation and delivery process. Our team suggested integrating Stripe, a collaborative and flexible billing solution, with e-conomic, the accounting app used by Pubfront to manage their payments and billing systems.

When a new invoice was booked in e-conomic, our workflow endpoint integrated with the webhooks of e-conomic was triggered, and the following actions were taken:

Fetch e-conomic invoice: Our system retrieved the e-conomic invoice by passing the booked invoice number as the reference ID.

Retrieve email address from e-conomic: The email address details of the employee were fetched by passing their reference number to e-conomic.

Retrieve e-conomic customer details: The corresponding customer details were fetched from e-conomic using the customer number obtained from the invoice details.

Fetch Stripe customer: We destructured the customer details obtained from e-conomic and searched for the customer in Stripe. If the customer was not found, we created a new customer in Stripe with the same details obtained from e-conomic.

Create Stripe invoice for customer: Using selective details from e-conomic and Stripe, such as the invoice number, customer ID, due date, currency, gross amount, and customer email address, our system created an invoice in Stripe.

Fetch Stripe invoice: The Stripe invoice created in the previous step was fetched by using the invoice ID returned by Stripe.

Send email to the customer: Finally, an email was sent to the client notifying them that their invoice has been successfully created in Stripe.

By following these steps, our system automates the process of creating invoices for booked invoices in e-conomic, reducing the need for manual intervention and saving time and effort for our clients.

The Results
