From Deal to Delivery: CHS Container Automates Its Entire Workflow
Project Overview
Cloudify recently partnered with CHS Container, a company specializing in the sales of new and used shipping containers, to address their business process inefficiencies.
The primary goal was to streamline CHS Container’s operations, while also improving their customer satisfaction.
The Challenge
What did CHSContainer needed help with?
CHS Container was previously adding pipelines for each service manually, which was a time-consuming task. CHS Container was facing several challenges in their business operations.
Firstly, their manual data entry process was time-consuming and inefficient.
Secondly, the lack of automation in their order fulfillment and invoicing processes led to errors and delays.
Thirdly, the company struggled to communicate effectively with their team members, which often resulted in confusion and delays.
The Solution
How did we approach it?
Our SaaS experts analysed their business requirements before making the implementation. The goal was to create something scalable and easy to use. Cloudify’s solution involved the implementation of Pipedrive, a popular CRM platform, and the custom integration of Rackbeat, a warehouse management system. The project had two clear parts - implementation and integration.
Implementation Process:
During the implementation process, Cloudify helped CHS Container to set up Pipedrive, train the team, and configure the system according to their unique business needs. This implementation allowed CHS Container to streamline their sales process while also improving their communication with customers.
Integration Process:
During the integration process, Cloudify created a custom integration between Pipedrive and Rackbeat. This integration allowed all inbound shipments to be automatically added to Pipedrive, which reduced the amount of manual data entry required. Cloudify also automated CHS Container’s order fulfillment and invoicing processes, which eliminated errors and delays.
Here are the workflows:
Pipedrive to Rackbeat flow:
Step 1: FnC Customer in Rackbeat
Retrieve the customer details from Pipedrive.
Create or update the corresponding customer in Rackbeat with the retrieved details.
Step 2: FnC Product in Rackbeat
Retrieve the product details from Pipedrive.
Create or update the corresponding product in Rackbeat with the retrieved details.
Step 3: Create Order Lines:
Fetch the relevant deal information from Pipedrive.
Extract the necessary order line details (e.g., product, quantity) from the deal.
Create order lines in Rackbeat with the extracted information.
Step 4: Create Order in Rackbeat
Retrieve the deal information from Pipedrive.
Extract the necessary order details (e.g., customer, order lines) from the deal.
Create an order in Rackbeat with the extracted information.
Step 5: Add Order Note in Pipedrive
Fetch the created order information from Rackbeat.
Extract the relevant details (e.g., order number) from the Rackbeat order.
Add an order note in Pipedrive with the extracted information.
- Rackbeat shipment flow:
Step 1: Fetch Rackbeat Order
Retrieve the shipment’s associated order information from Rackbeat based on the shipment trigger.
Extract the Pipedrive deal ID stored in a custom field of the Rackbeat order.
Step 2: Fetch Shipment Based on the Order
Fetch the shipment details from Rackbeat based on the retrieved order information.
Gather the relevant shipment details (e.g., shipment number) from Rackbeat.
Step 3: Update Pipedrive Deal with Shipment Number
Retrieve the corresponding deal in Pipedrive using the deal ID extracted in Step 1.
Update the Pipedrive deal with the shipment number obtained from Rackbeat in Step 2.
These workflows provide a detailed sequence of steps to accomplish the integration and synchronisation between Pipedrive and Rackbeat systems.
Automations delivered - SaaS apps that helped CHS Container grow:
Pipedrive: Pipedrive was the implementing SaaS app for CHS Container, which is a complete sales CRM app.
The Results
The workflows result in a seamless integration between Pipedrive and Rackbeat:
Customer and product details from Pipedrive are accurately transferred to Rackbeat.
Orders and order lines are created in Rackbeat based on Pipedrive deals.
Order notes, including the order number, are added in Pipedrive.
Shipment details, such as shipment numbers, are retrieved from Rackbeat and updated in the corresponding Pipedrive deals.
This integration ensures smooth data flow, consistency, and enhanced management of orders and shipments between Pipedrive and Rackbeat.
