Eliminating Manual Work: Cloudify’s Multi-App Automation for TED IVS

TED IVS, a lawn maintenance solutions business in Denmark, was facing a time-consuming and error-prone process of generating client data and creating individual agreements for each client. Additionally, they were manually adding deals from their WordPress form and Facebook to Pipedrive. These manual processes were not scalable and resulted in wasted time and resources.

What did TED IVS needed help with?

TED IVS needed help with syncing Pipedrive with Previsto so that every deal they get in Pipedrive would automatically generate an updated agreement in Previsto. At the same time, check the latest emails in Pipedrive deals by creating a zap for it.

The Solution

How did we approach it?

Cloudify implemented an automation solution that synced TED IVS’s Pipedrive account with Previsto, allowing for automatic agreement creation in Previsto for every new deal created in Pipedrive. Additionally, Cloudify created a Zap that checked the latest emails in Pipedrive deals, making it easier for TED IVS to stay on top of their communication with clients. To further streamline TED IVS’s workflow, Cloudify automated the process of adding all inbound leads from their WordPress form and Facebook to Pipedrive. This eliminated the need for manual data entry and reduced the potential for errors.

Here are the workflow details:

Create Deal: A Zap was set up that fetched the form responses and posted it to the workflow start point and triggered the flow. When a new form was submitted on the WordPress website, a new deal was automatically created in Pipedrive. This was achieved by finding or creating the customer in Pipedrive and instantiating a new deal.

Facebook Leads: We did set up a Zap that got updated whenever there was a new lead in Facebook and the flow was triggered. Then a new deal was automatically created in Pipedrive. This was achieved by finding or creating the customer in Pipedrive and instantiating a new deal.

Create Agreement: When a new deal was created in Pipedrive, an agreement was automatically created in Previsto. This was achieved by finding or creating the customer in Previsto and creating a new agreement. If there were changes in Previsto custom fields, we triggered the update Previsto flow. If the mail messages count changed, we triggered the Send SMS flow.

Update Previsto: When a deal in Pipedrive was updated, the corresponding agreement in Previsto was automatically updated and the Previsto contact associated with the agreement was also updated. This is achieved by finding or creating the customer in Previsto and making the appropriate changes in the already drafted agreement.

Send SMS: When an email associated with a Pipedrive deal is not read by the associated person, an SMS is automatically sent to them through Twilio. This is achieved by sending an SMS to the associated person through Twilio.

Facebook - By using Facebook as a platform to generate leads, Tromle can expand their reach and target specific demographics with tailored content.

WordPress - The ability to create forms on Tromle’s WordPress website enables them to capture valuable customer information.

Twilio - Twilio’s SMS integration allows Tromle to communicate with their customers through a convenient and widely-used channel.

The Results
