Hi-Fi Freaks, an up-and-coming brand in the retail sector, desired to scale up their business operations on Amazon. As part of their expansion strategy, they aimed to automate their invoicing process and integrate it with their accounting system to save time, reduce errors, and streamline their business workflows. As their sales volume on Amazon increased exponentially, manually managing invoices for each order became a challenging and inefficient process.

The Challenge

What did Hi-Fi Freaks needed help with?

Hi-Fi Freaks’ primary challenge was the ever-growing manual workload of generating invoices for each order received on Amazon. With an escalating sales volume, their traditional invoice management process became cumbersome, error-prone, and time-consuming. This inefficiency was hindering their ability to provide top-notch customer service and timely financial reporting. They needed a solution that could seamlessly integrate with Amazon and their accounting software, e-conomic, to automate the invoicing process.

Getting the Facts Straight from Amazon: We tapped into Amazon's data, using it to pull out key information like who made the purchase, where it was being sent, what the order number was, and what items they bought.

Understanding the Pulse Through Polling: We've incorporated a methodical process of polling into our operations, ensuring we never miss a beat when it comes to Amazon's data. This approach involves fetching Amazon's order data at a predetermined time each day.

Finding or Making a Customer Profile on e-conomic: Once we had the customer data from Amazon, we checked if they were already in our e-conomic system. If they weren't, no problem - we simply created a new customer profile using the details we had.

Finding or Listing Products on e-conomic: We followed a similar process for the products in the order. If the items weren't already listed on e-conomic, we took care of that too, using the product details we got from Amazon.

Drafting an Invoice on e-conomic: With all the necessary customer and product information sorted on e-conomic, we were able to generate an invoice draft. This is essentially a rough version of the bill, allowing for any last-minute checks or changes before it's finalized and sent off.
